What is MeetingsIn?
MeetingsIn is an informational, lead referral portal for the meetings and conference industry. Our business focus is to allow hotels and conference venues a gateway to advertise their products to you, the global meeting planner. This enables you to search for the most appropriate place to hold your next meeting - all in one website.
Who uses MeetingsIn?
Anyone expecting to plan or hold a meeting who wants to evaluate all options available to them. From meeting planners to administrative assistants to someone organizing a wedding, everyone is welcome to use MeetingsIn. Our tools and information are professional and comprehensive, yet are easy enough to use for someone new to planning a meeting or event.
What is the MICE industry?
Meetings Incentives Conferences Events. Or Conventions and Exhibitions....or whatever you feel like substituting in for the acronym, we’re not fussy. This can include corporate seminars, executive business meetings, product launches, annual parties or even a bowling league.
What size meetings go through MeetingsIn?
Typically meetings facilitated through us range in size from 10 to 200 participants, but larger meetings are welcome and many venues listed are capable of hosting more attendees. We found that the small to mid-size meetings planner had few if any professional tools to use in searching for the right venue and were often left to their own devices. We couldn’t just sit and let that happen, could we?
How do I use MeetingsIn?
A good start is to have some idea of the details for your meeting. Check out our event tips page for some good pointers. Once you know some of the key details, start a search from the home page to look at the venues that match your search criteria. Feel free to browse all venues or be more specific with an advanced search to find the right one for you. If you don’t want to limit yourself to just one venue, select a few more to get quotes back from each! Who could blame you for wanting to shop around, right? Check out the meeting space and rooms from the venues you’ve selected and if you like what you see, add them to your RFP (request for proposal). Once you’re done, fill out your meeting details in the RFP and submit. You’ll get a confirmation email and you should hear back from the venues within 48 hours.
What if I need help selecting a venue?
You’re in luck! We just happen to have MeetingsIn specialists who are able and willing to help you find the perfect location for your next meeting at no cost to you. Simply click our friendly help icon, Tellus the Globe, who you’ll find on the side of the page along the way. She’ll take you to a contact form where you can send us your meeting information and a specialist will get in touch with you quickly. It’s not always easy finding a venue that meets your budget, attendee’s needs and is located in the right place.
Are there any specials or promotions provided by MeetingsIn or the venues listed?
Yes there are! Look at the bottom or side of the page for the latest promotions and deals being advertised by our partners. You will often find some pretty good deals going on that help you stay within budget.
Will somebody help me plan my meeting?
MeetingsIn will get you started by enabling you to gather information for the right venue, which frankly is half of the battle. Your RFP will be sent to the right person at the hotel or venue, making life even easier. But planning the details of your meeting from cocktail receptions to travel arrangements does take time and experience, and that’s where our MeetingsIn specialists come in to play again. They are our preferred suppliers and if needed, know how to make your meeting a successful one.
Who are these MeetingsIn specialists?
They are meetings industry experts with years of experience and backgrounds such as hotel sales and professional meeting planning. In partnership with our preferred suppliers, our MeetingsIn specialists are based in over 50 countries and each has local knowledge which you can take advantage of when choosing a venue.
Does it cost anything to use them?
Nope! There is no cost to you, so why not use their help? And in case you are wondering how this is possible, they will usually earn a placement fee off of your meeting from the venue which does not affect your price or value as this is common industry practice.
What if I want to hold a meeting in a city not listed?
No problem! Since we have help in over 50 countries and only ten city sites at the moment, feel free to put our specialists to work. Just add which city or region you are interested in when you contact us and we’ll direct you to the right person for the job. They will be able to recommend your best options in the city with regards to your meeting needs or even suggest alternate destinations that you might not have considered yet.
If I didn’t like any venue listed on your site, can I still use MeetingsIn?
Absolutely. We are always adding more venues to our list but in the meantime contact us to reach a specialist. We can give you even more options in the city.
Can MeetingsIn help me with city tours, travel arrangements or even local cuisine?
Yes we can! We have some local favorites, but we leave that to our MeetingsIn specialists who know the inside scoop. We partner with destination management companies (DMCs), convention and visitor bureaus (CVBs) and great hotels. Each one will be able to recommend and help you book. Again, contact us with your specific question or request to get started.
Can I book a group stay through MeetingsIn without holding a meeting?
You bet! If you want to just book a large number of rooms or have all of your group stay in one place, please feel free to use MeetingsIn to do so.
Can I leave feedback or comments about your site to other users?

Where is MeetingsIn based?
In the beautiful city of Scottsdale, Arizona - home of sunshine, desert wildlife and year-round hot temperatures. But in our offices it is a cool 74 degrees F (23 C).
Are you planning on having more city websites?
